JOB DESCRIPTION:
The profile of the Procurement Administrator is to assist the Procurement Team Leader to maintain stock levels, ensure that fast-moving products are always available. Monitor stock movements in order to identify products that are becoming obsolete. Source new products and keep up to date with new products that are being launched. Negotiating prices with suppliers and assisting with stock takes and investigating variances.
MAIN DUTIES & RESPONSIBILITIES:
- Sales orders
- Quotations
- Loading of Item Codes
- Loading Purchase orders and GRVs
- Notify Sales of stock received
- Ensuring goods received are checked and loaded timeously onto the system
- Following up on back orders with suppliers and confirming ETAs
- Sending out the daily ETA report
- Assisting with queries on new products, pricing and availability
- Working closely with clearing and forwarding agents for timeous deliveries of imports and exports
- Notifying suppliers of faulty stock and arranging returns, ensuring returns to suppliers are processed
- Calculating landed cost
- Calculating estimated landed costs prior and submitting to sales for approval
- Completing price approval forms and submitting for approval
- Monitoring landed costs on products to ensure a stable GP
- Ensuring all backorders are fulfilled for corporate and retail clients
- Ensure that new codes are created and maintained on the system and that pricing is always accurate
- Loading images on Pastel
- Updating and loading pricing on Pastel
- Allocating barcodes to new items
- ICASA applications
- Ensure that Bills of Material are created and maintained correctly
- Manage suppliers and review their level of service and product quality on a regular basis
- Ensure compliance and maintenance of ISO 9001:2008 policies and procedures pertaining to procurement

EDUCATIONAL REQUIREMENTS:
- Grade 12
- Relevant tertiary qualification advantageous
EXPERIENCE AND SKILLS REQUIRED:
- 2 - 3 years-experience in a purchasing / procurement role

Implement and maintain a food safe, hygienically clean and sanitary environment within the company factories and abattoirs. Focus on promoting a safe and hygienic workplace preventing contamination, while optimizing resources by driving a culture shift and minimizing wastes and defects of cleaning and related activities (startup delays, unplanned downtime, product defects, machine damages, consumable wastes, etc.).
MAIN DUTIES & RESPONSIBILITIES:
Cleaning and Sanitation
- Implementation of Cleaning Procedures
- Oversee the Cleaning Management System at the relevant company factories and abattoirs
- Implement effective cleaning procedures
- Maintain the hygiene standards within the manufacturing plants and support structures / facilities
- Ensure that cleaning schedules are established to ensure cleaning on all levels of detail for all equipment and structures, and that these are followed diligently
- Oversee the correct hand-over of the plants between the cleaning teams and the production teams
- Continually improve effectiveness and efficiencies of the implemented cleaning programs
- Establish monitoring systems and inspections to assess the team's performance

Collaboration with Other Departments

Training and Supervision

Hygiene Audits and Inspections

- Collaborate with internal and external auditors and colleagues to address any hygiene-related concerns
Sanitation Products and Equipment Maintenance
- Oversee the correct maintenance of cleaning equipment
- Ensure the use of the appropriate cleaning agents for the different areas and equipment types
- Manage chemical storerooms and sculleries

Emergency Response Planning
- Develop and implement emergency response plans for cleaning-related incidents, such as spills or contamination events
- Ensure the cleaning team is well-trained and equipped to respond to emergencies promptly
Vendor and Inventory Management
- Manage relationships with cleaning product vendors, ensuring the availability of quality supplies
- Maintain inventory levels and order cleaning supplies as needed

Continuous Improvement

To execute daily Materials Plans schedules/plan for all production units, capacity planning, KPI reporting, procurement functions and measure adherence to processes. Ensure master data is updated daily, monitor variances in forecasts daily, cover for materials planner when necessary. Materials planner will also need to communicate all the above to the relevant stakeholders when required.
